Role and Responsibilities:
- Facilities Management: Supervise and coordinate maintenance activities to ensure the optimal functioning of the facility.
- Manage relationships with external vendors and internal partners for facility-related services, ensuring quality standards are met within budgetary constraints.
- Develop and implement procedures for the efficient use of space, including office layout and furniture arrangements.
- Plan seating for the site basis headcount and changing seating availability.
- Budget Management: Develop and manage the annual facilities budget, including forecasting expenses and monitoring expenditures.
- Identify cost-saving opportunities and efficiency improvements within the facilities management budget.
- Prepare regular financial reports and variance analyses to track budget performance and provide recommendations for adjustments as needed.
- Collaborate with finance and procurement departments to ensure compliance with budgetary guidelines and procurement policies.
- Site Administration: Serve as the primary point of contact for all facilities-related inquiries and requests from employees, management, and external stakeholders.
- Coordinate facility-related logistics for meetings, events, and special projects, including room reservations, equipment setup, and catering services.
- Maintain accurate records and documentation related to facility management, including contracts, warranties, and maintenance logs.
- Implement and enforce company policies and procedures related to workplace safety, cleanliness, and environmental compliance.
Required Skills and Qualification:
- Bachelor’s degree in Business Administration, or related field preferred.
- Proven experience in facilities management, including budget management and vendor coordination.
- Strong financial acumen and proficiency in budgeting and financial analysis.
- Excellent communication and interpersonal skills, with the ability to effectively interact with employees at all levels of the organization.
- Strong organizational skills and attention to detail, with the ability to multitask and prioritize tasks in a fast-paced environment.
- Knowledge of relevant regulatory requirements and best practices.
